Due to a recent promotion, we are excited to offer a new vacancy for a Health, Safety and Wellbeing Support Officer in our innovative and ambitious Health, Safety and Wellbeing Team.
As a Health, Safety and Wellbeing Support Officer in our Team, you’ll be part of our vital support team that excels in providing a wide range of high quality, quick and flexible health, safety and wellbeing management and administrative support. This is a varied role, where no two days are the same, and includes finance management, incident data management, customer contact, training administration, meeting and appointment management and much more.

About you
As a Health, Safety and Wellbeing Support Officer in the Health, Safety and Wellbeing Team you will bring to the role:
- Well-developed interpersonal and communication skills with a wide range of people including face-to-face, telephone and written communication skills.
- Experience of preparing and presenting information and be able to provide and present clear accurate, and timely information to agreed standards.
- Experience in the use of a range of IT applications, systems and programmes e.g Microsoft Office including Word, Excel, and Outlook, Sharepoint and Teams.
- Experience of using financial management systems e.g FMS, Civica.
- Experience in arranging meetings and managing diaries.
- The ability to respond to changing priorities to meet deadlines.

The role is integral to our Corporate Health, Safety and Wellbeing Team, that is part of the Human Resources Team. We support over 24,000 staff (based in 5 Directorates and over 100 Leeds City Council schools) and have a traded service to over 150 other organisations. Our remit also covers protecting the people of Leeds who use over 500 different Leeds City Council services. Within the Team we also have a range of specialist sub teams supporting strategies to reduce Violence and Aggression, Schools’ health, safety and wellbeing, Fire Safety and Occupational Health.

Job purpose
The role of a Health, Safety and Wellbeing Support Officer in the Health, Safety and Wellbeing Team is to support the Team in providing a range of high quality, responsive and flexible health, safety and wellbeing services to a number of stakeholders, including Directors, Chief Officers, Heads of Service, Service area staff and managers and external organisations including schools.
The role will assist in delivering core elements of the Health, Safety and Wellbeing strategy. Supporting the delivery of accurate and effective health, safety and wellbeing trend spotting, record keeping, data management and monitoring, corporate health, safety and wellbeing documentation and guidance, training programmes and financial management relating to health, safety and wellbeing activities throughout Leeds City Council (LCC) and external organisations including schools.
Responsibilities:
- To work with high levels of accuracy for tasks such as data input, checking documents and recording numerical and alphabetical information. Includes analysing and collating data and using it to produce reports.
- To assist in the development and maintenance of the organisations health and safety management system including updating and management of resources on Insite and Leeds for Learning.
- To assist in the management of service budgets through accurate and timely invoicing, re-charging and follow up of overdue payments.
- To assist in the maintenance of traded Service Level Agreements, including identifying renewal dates and pro-active and reactive communications to ensure customers are retained.
- To provide timely and accurate information and data in relation to health and safety performance, that supports the effective operation of the service and assists line management in their health and safety responsibilities.
- To arrange and take minutes for meetings within the team, with union colleagues, and other internal and external services.
- To assist in the arrangement and maintenance of health, safety and wellbeing training programmes, including booking venues, managing attendance and the upkeep of training records.
- To have an understanding of legal business, financial, audit, confidential and operational requirements of the service, and the impact on its day-to-day work.
- To abide by the Council’s GDPR, Financial, EDI and Health, Safety and Wellbeing Policies.
- To work on your own, manage your own workload and use your initiative to adhere to time scales and deadlines.
- To work to agreed standards to ensure consistent delivery of services.
- To work collaboratively with colleagues, knowing when to seek help and advice.
- To participate in appraisal, training, and development activities as necessary to ensure up to date knowledge and skills.
