About you
As a Venue and Zone Coordinator, you will bring:
- Proven experience coordinating screenings, performances or large-scale public events.
- Strong organisational skills and the ability to juggle multiple live schedules under pressure.
- Confident people leadership, especially when guiding and motivating volunteer teams.
- Clear, calm communication with audiences, artists and technical crews.
- A solid working knowledge of health-and-safety principles in event environments.
About the role
As one of our Venue and Zone Coordinators you will be the go-to problem-solver on the festival floor, ensuring audiences are welcomed, volunteers are supported, and every screening or art activity runs to plan. From cinema partners like Hyde Park Picture House and Vue to open-air Light Night zones in Millennium Square, you will keep activity flowing, address real-time challenges, and safeguard visitor experience. Your coordination skills will help the festivals reach thousands of residents and visitors, boost the local economy, and showcase Leeds as a creative, welcoming city.

Job Description
Job purposeTo coordinate screening or event activities, audiences and volunteers in a venue or zone area for LAEV festivals like Leeds International Film Festival, Light Night Leeds, and Leeds International Beer Festival.
Responsibilities
- Coordinate screening or event activities and schedules in a venue or zone area with full awareness of the space in use and its facilities like access routes.
- Regularly check screenings or events are running to plan and volunteers are assigned at screenings/events in case of any technical or other issues.
- Coordinate a team of volunteers in a venue or zone area, look after their safety and well-being, and liaise with them in the lead-up to and after the event as required.
- Coordinate filmmakers, artists, technical staff and other contracted participants at events, including ensuring they set up on time and deliver their work or performances as planned.
- Coordinate any audience interaction activity with guests, for example ensuring proper set-up is in place for introductions, Q&As or panel discussions with filmmakers or artists and their hosts.
- Coordinate ticketing at screenings or events using box office software, including checking pre-booked tickets, selling tickets on the door if required, and providing sales reports.
- Coordinate the seating or other occupancy of audiences at screenings or events, including ensuring timely entry and exit, and monitoring the use of allocated seats or spaces.
- Coordinate the safety of the public at events with full awareness of applicable Leeds City Council health and safety policies and of any procedures particular to a venue or zone.
- Report incidents and issues within a venue or zone to supervisors.
- Respond to screening or event updates and share with volunteers and audiences as required.
- Respond to any enquiries and complaints from audiences.
- Coordinate the gathering of information from audiences such as surveys and audience votes.
- Become familiar with the full programme of a festival and its key attractions to be able to make recommendations to audiences.

Qualifications
Essential requirements Candidates will only be shortlisted if they can demonstrate that they meet all the following essential requirements.
- Knowledge of AEV events like Light Night Leeds and Leeds International Film Festival.
- Knowledge of Microsoft Office packages.
- Experience of coordinating screenings or events.
- Experience of coordinating audiences at screenings or events.
- Experience of coordinating volunteers at screenings or events.
- Experience of working on both indoor and outdoor screenings or events.
- Experience of dealing with enquiries and complaints from the public.
