As a Support Assistant you will be responsible for providing technical property work on behalf of the council, this is wide ranging due to the council large property portfolio. It will include the valuation, letting and disposal of property assets and require you to work with a range of both internal and external parties to ensure a successful delivery of the required outcomes.

About you

As a Support Assistant, you will bring to the role:

  • Experience of communicating clearly and effectively with a wide range of people, internal teams, external partners and being able to develop strong working relationships.
  • Ability to work on your own, using your initiative and prioritise workloads to meet required timescales and deadlines.
  • Accurately record and retrieve information from various databases.
  • Produce clear and concise reports and communications.

About the role

As our next Support Assistant, you will undertake property work on behalf of the Council that will include valuation of Council housing, the sale of garden land and other minor property assets, the granting of leases and licences (such as site compounds and grazing licences). It will also involve more general day to day property transactions with external organisations to include Statutory Providers and Telecommunications Operators. The work will require site visits outside of the office setting so will involve travelling around the city to undertake inspections of land and property assets and will provide a good opportunity to work on the interesting and varied property portfolio owned by the Council.

The role will require an enthusiastic and organised individual with an interest in property transactional work. The successful applicant will join the Land and Property team within City Development. A general understanding of land and property matters would be useful, but guidance, support and training will be provided to the successful applicant.

Job Description

Job Purpose: 

To provide an effective and efficient administration and technical support service as part of the Asset Management and Regeneration Service.

Primary areas of work to include, the provision of specialist service support, the provision of specialist service information to partners and the public, the delivery of complex administration functions, to liaise with other services within the organisation and to support the role of the manager.

Responsibilities 

  • To provide a detailed, technical and administrative support service to a wide variety of teams within the Asset Management and Regeneration service.
  • Organise and operate administrative systems within the service.
  • Contribute to the planning, development and monitoring of support services.
  • Monitoring and evaluation of the systems and processes.
  • Develop good working relationships with outside agencies and stakeholders.
  • Liaise between managers and other administration staff.
  • Present a positive personal image, contributing to a welcoming environment for staff and visitors.
  • Provide an excellent customer service to colleagues, customers and visitors to the service.
  • Provide detailed analysis and evaluation of data and produce detailed reports/information as required.
  • Produce information and respond to complex enquiries
  • Manage complex administrative procedures.
  • Be responsible for completion and submission of complex forms, returns etc., including those to outside agencies.
  • Provide advice and guidance to colleagues and the public on complex or technical issues.
  • Undertake research and obtain information to inform decisions.

For property related responsibilities:

To assist and carry out inspections, viewings and surveys of land and premises in relation to:

  • Sales, purchases, acquisitions by lease and lettings
  • Rating, asset valuation and compensation matters
  • Repair and maintenance
  • Preparation of schedules, particulars and reports
  • Granting or reserving easements, wayleaves, rights of way and access
  • Determining property disputes, encroachment and regularisation
  • Marketing of property
  • To prepare terms for the above property transactions and negotiate and agree terms for these transactions
  • Prepare reports for the approval of such terms
  • Prepare instruction solutions to undertake the work to complete the above transactions

Qualifications

  • Have a qualification, experience, or willingness to learn about land, property and asset management
