About you
As Assistant Supervisor you will bring to the role:
- Ability to assist with the management, motivation and direction of supervised staff to ensure behaviour and performance is to a high standard and work targets are achieved.
- Ability to monitor vehicle maintenance systems for the service, identifying areas for improvement and sharing ideas for these with leadership.
- Knowledge of compliance requirements in relations to all statutory and regulatory guidelines for a vehicle maintenance workshop
- Knowledge of determining and controlling in-house work, warranty, and subcontract work, to minimise vehicle downtime whilst remaining within financial constraints.
- Knowledge of supervising staff and dealing with daily operational and staffing related mattersincluding performance and attendance management
- Knowledge of planning and scheduling workloads, job allocation and staff deployment
- Knowledge of finding solutions to complex issues whilst balancing the conflicting demands of a customer focused operation.
About the role
Fleet Services are responsible for the essential maintenance and repair of the corporate vehicle fleet, which is currently made up of over 1,200 vehicles. This role will support the safe management of the vehicle fleet, increase efficiencies within the service and support the future delivery in relation to creating a sustainable operating model which is future proofed. Based at Torre Road Depot (Leeds 9), the successful candidate will join this small but busy service to support the fleet requirements for the whole authority.
Our successful candidate will assist with the supervision of, and the day to day running of the vehicle maintenance operation, operated by workshop supervisors, assistant supervisors and technicians across the 4x4, day and night shifts. The post holder will assist with the 4x4 and Day Shift and as such will work a 4 days on, 4 days off shift pattern but will be required to work flexibly to meet service needs as required across the other shifts. This role will take a lead in relation to key areas such as staff supervision, job allocation, progress, tracking, identifying and resolving issues to ensure efficiency and productivity is always maintained to a high standard.
The post holder will ensure the team adhere to fleet maintenance and repair policies and procedures, providing an efficient and cost-effective maintenance system which supports the business objectives and service schedule designated. That all vehicles are maintained in line with Operator Licence obligations, with key documentation completed, in line with DVSA standards.

Job Description
Job Purpose:
To assist the day to day running of the vehicle maintenance operation providing job allocation, ensuring efficiency and productivity is maintained to a high standard.
Work to fleet maintenance and repair policies and procedures, provide an efficient and cost effective maintenance system.
Ensure all vehicles are maintained in line with Operator Licence obligations.
Responsibilities for Grade:
- To work across all shifts and provide accurate and complete handovers to ensure continuity.
- Supervision of staff, issuing job sheets and covering absences.
- Control and monitoring of resources, including use of overtime and agency staff.
- Ensuring compliance with safety inspection regime for vehicle maintenance.
- Day to day assistance of vehicle maintenance activities, workshop operations and associated staff operating shift patterns and standby rotas both out-stationed and workshop based.
- To assist with the planning of workshop loading and staff deployment to achieve best use of available facilities and resources.
- Liaison with external contractors and suppliers to both ensure warranty and sub contract work is initiated and carried out in the most cost effective manner to maximise vehicle uptime and to resolve repair related problems and issues.
- To maximise workshop productivity and to provide practical solutions and advice to technicians on shop floor.
- To maintain workshop and staff discipline and to ensure observance of all relevant Health and Safety procedures and compliance with relevant QA procedures. To manage and secure compliance within the workshop along with all QA procedures, EMAS and ROSPA requirements.
- Monitoring and control of workshop security.
- Ensure all work related documentation is correctly completed and authorised.
- To provide regular toolbox talks to include issuing information and recording attendance.
- Assist in the identification of training needs and with the on site training requirements.
- Ensure compliance with all statutory and regulatory guidelines.
- Ensure compliance with all pandemic requirements.
- Increase productivity and reduce costs within agreed service standard frameworks.
- Responsibility for developing and maintaining good relations with customers relating to the maintenance of their vehicles
- Responsible in conjunction with the workshop manager and workshop support manager for all Health & Safety matters that apply to the vehicle maintenance operation.
- Use IT technology to deliver an efficient and effective fleet maintenance service.
- To ensure fleet maintenance systems and staff abide by health & safety, pandemic and environmental requirements.
- Create good working relationships with service managers and staff to ensure satisfactory service provision.
- To provide expert advice on all aspects of vehicle maintenance.
- To provide supervision to staff assigned to the area of responsibility which includes recruitment and selection, development, training and maintaining the LCC Code of Conduct standards.
- To participate in appraisal, training and development activities as necessary to ensure up to date knowledge and skills.
- To improve own practice through observation, evaluation, discussion with colleagues and appropriate CPD programmes.
- To work collaboratively with colleagues, knowing when to seek help and advice.
- Contribute to the overall ethos, work, and aims of the service by attending relevant meetings, training days/events as requested.

Qualifications Required
City and Guilds 4101 (Light Vehicle Maintenance & Repair) or, Repair and Servicing of Road Vehicles, 383 - full level 2 or 3 or Automotive Qualification NVQ level 3, or Motor Vehicle Craft Studies, 381 - full part 2 or 3 or equivalent.
Essential requirements: It is essential that the candidate should be able to demonstrate the following criteria for the post. Candidates will only be shortlisted for interview if they can demonstrate that they meet all the essential requirements.
- Ability to inspect, service, repair, maintain and diagnose faults on the full range of vehicles operated by Leeds City Council to carry out safety inspections on all vehicle types on the inspection pit area and record findings on the inspection and defect record.
- Ability to carry out Pre and Post MOT/DVSA test inspections on all vehicle types on the inspection pit area and record findings on the inspection and defect record.
- Good command of the written and spoken word, sufficient to lead meetings, write operational reports and communicate accurately under pressure.

- Experience of advising clients on individual maintenance needs.
- Experience in the use of windows based computer systems to include Word, Excel.
- Experience in the operation of the stores department to include parts acquisition and parts allocation routines.
